Activus Recruitment are seeking an Office Administrator on behalf of our client based in Dyce.

This is a full-time position initially offered on a contract basis, with the opportunity to become permanent for the right candidate.

Our client is a well-established supplier of oilfield equipment, specialising in exporting products to international markets. They are looking for a highly organised and detail-oriented individual to support their administrative, purchasing, and logistics functions.

Key Responsibilities

  • Acknowledge customer orders and issue copies of signed Purchase Orders (POs)
  • Check supplier acknowledgements against company POs
  • Ensure pro forma invoices match POs prior to payment
  • Issue proof of BACS payments to suppliers
  • Expedite outstanding purchase orders
  • Process and manage purchase orders within Sage Line 50
  • Prepare shipping documentation and liaise with customers and freight forwarders
  • Coordinate UK and international collections, ensuring timely follow-up
  • Liaise with freight, courier, and transport companies regarding bookings and pricing
  • Source freight costs as required
  • Assist freight agents with identification and receipting of materials
  • Obtain material receipts for order completion and invoicing
  • Monitor incoming customer payments (pro forma terms)
  • Invoice completed orders
  • Order office supplies and maintain stock
  • Maintain filing and archiving systems
  • Handle incoming calls and general enquiries
  • Provide administrative support and cover during busy periods or staff absence

Skills & Experience

  • Previous experience in an administrative role is essential
  • Experience with Sage Line 50 is preferred
  • Strong organisational skills with excellent attention to detail
  • Effective communication skills, both written and verbal
  • Ability to manage multiple tasks and prioritise workload
  • Experience within logistics, export, or freight coordination would be advantageous
